Final submission

Preparing an accepted paper for IEEE Xplore

These instructions were issued to authors of accepted papers for the 2018 edition. They guided the preparation of final papers for IEEE Xplore and EI Compendex and ISTP. Authors were asked to follow each step carefully to assure a smooth submission.

1. Respond to the reviewers

   Acceptance emails from the program chair included written comments from peer reviewers. All comments were to be addressed thoroughly, because acceptance was conditional on appropriate responses. Authors also had to comply with the IEEE policy against duplicated submissions. Authors with duplicated submissions were blacklisted and prohibited from submissions to future conferences and journals.

2. Make the paper IEEE Xplore compliant

   Final papers had to be IEEE Xplore compliant. Otherwise the papers would not be submitted to IEEE Xplore or EI and ISTP. IEEE PDF eXpress was provided as a free service to generate IEEE Xplore compliant PDF files or to check PDF files created by authors.

   Authors had to either generate the PDF file with IEEE PDF eXpress or check their PDF file at IEEE PDF eXpress before submitting the final version.

3. Use the conference ID in IEEE PDF eXpress

   The conference ID for ICNC FSKD 2018 was 45631X. Authors logged in at the IEEE PDF eXpress site, created a new title for each paper, and submitted either a PDF for checking or source files for conversion.

   Full IEEE PDF eXpress login and upload steps

   First time users

   1. Click "New Users, click here".
   2. Enter 45631X for the conference ID, your email address, and choose a new password. Continue to enter information as prompted.
   3. You will receive online and email confirmation after successful account setup.

   Previous users of IEEE PDF eXpress for other conferences

   1. Enter 45631X for the conference ID, your email address, and the password used for your old account.
   2. When you click "Login" you will receive a message saying you need to set up an account. Click "Continue". By entering your previously used email address and password combination, you can enable your old account for ICNC FSKD 2018.
   3. Check that the contact information is still valid, and click "Submit".
   4. You will receive online and email confirmation after successful account setup.

   Returning users of ICNC FSKD 2018

   Enter 45631X for the conference ID, along with your email address and password.

   For each paper

   1. Click "Create New Title".
   2. Enter your paper title as identifying text.
   3. Click "Submit PDF for Checking" or "Submit Source Files for Conversion".
   4. Indicate the platform and source file type if applicable, click Browse and navigate to the file, and click "Upload File". You will receive online and email confirmation after a successful upload.
   5. You will receive an email with your checked PDF file or IEEE PDF eXpress converted PDF file attached. If you submitted a PDF for checking, the email will show whether the file passed or failed the check.

   If the PDF fails the check

   • Submit your source file for conversion by clicking "Try Again", then "Submit Source Files for Conversion".
   • Read the PDF Check report, then click "The PDF Check Report" in the sidebar for possible solutions.
   • Request technical help through your account.

   If you are not satisfied with the converted PDF

   • Resubmit your source file with corrections by clicking "Try Again", then "Submit Source Files for Conversion".
   • Submit a PDF file by clicking "Try Again", then "Submit PDF for Checking".
   • Request a manual conversion through your account.

   If the PDF passes or you are satisfied with the conversion

   Submit your IEEE Xplore compliant PDF file through the conference submission system.

   File types converted by IEEE PDF eXpress

   Rich Text Format, Freelance, LaTeX with DVI and all support files, Page Maker, Frame Maker, Quark Xpress, Word Pro, Microsoft Word, and Word Perfect.

   Support files

   For documents created in formats that do not embed source files, include all support files with the final manuscript in a folder. Put the folder in a compressed archive for submission. If images can be embedded in the source document, do so to avoid missing graphics. A DVI file is required for LaTeX conversions, in addition to the associated image files. Make sure the LaTeX system can output a DVI file, otherwise it cannot be converted by IEEE PDF eXpress. Check that images are properly referenced and that DVI can handle the image file types used.

4. Submit the compliant PDF to the conference system

   IEEE PDF eXpress was not a paper submission system. After generating or checking a PDF, authors still had to submit the PDF to the conference submission system. Final papers had to be submitted by the date specified in the acceptance email. Papers submitted after that date ran the risk of not being included in the conference proceedings. The paper had to be resubmitted even if the reviewers indicated that no changes were required.

5. Submit the IEEE copyright form

   For a paper to be published in the conference proceedings, a signed IEEE copyright form had to be submitted for each paper. Authors were informed separately about submitting the electronic copyright form. The paper needed to be registered before the copyright form could be submitted.

6. Register by the deadline

   The deadline for author registration with accepted papers was the date specified in the acceptance email. Authors who did not register by that date would not appear in the proceedings and would not be submitted to EI, ISTP, or IEEE Xplore. The registration page preserves the fees and payment information for the 2018 edition.
